Elevate Newquay CIC, trading as Elevate Youth Theatre, takes the privacy and security of children, young people and their families seriously.

Elevate Newquay CIC is a Community Interest Company limited by guarantee, registered in England and Wales under company number 17418307.

Information we collect

When you enquire about, register for or take part in Elevate activities, we may collect information including:

• Parent/carer and child names and contact details
• Date of birth and age
• Emergency contact information
• Attendance and booking information
• Relevant medical information, allergies, SEND or additional support needs
• Payment and transaction information
• Photography, video and promotional consent choices
• Communications between you and Elevate
• Safeguarding, accident or incident information where necessary

We only collect information that we reasonably need to provide our activities safely and effectively or to meet our legal and safeguarding responsibilities.

How we use your information

We may use personal information to administer bookings and memberships, communicate with families, maintain attendance and emergency records, support children's individual needs, manage payments, plan rehearsals and performances, safeguard children and young people, respond to emergencies and meet our legal obligations.

Where appropriate, we may also use photographs or video for our website, social media and promotional material. We will obtain the appropriate parent/carer consent before using identifiable images of children for promotional purposes.

Children's information

Because Elevate works with children and young people, some of the information we hold may be particularly sensitive.

We take additional care when handling children's personal information. Access is limited to people who need the information to carry out their role safely and appropriately.

Medical, SEND, safeguarding and other sensitive information will only be accessed and shared where there is an appropriate reason to do so.

Bookings and payments

Elevate uses third-party services, including ClassForKids, to help manage registrations, bookings and payments.

These providers may process personal information on our behalf or under their own applicable privacy arrangements. We expect organisations handling information for Elevate to provide appropriate data protection and security.

Sharing information

We do not sell personal information.

We may share information where necessary with organisations or individuals such as safeguarding authorities, emergency services, healthcare professionals, insurers, professional advisers, venues or service providers.

Information may also be shared where we are legally required to do so or where this is necessary to protect a child or another person.

Safeguarding

Safeguarding children and young people is a priority at Elevate.

There may be circumstances where we need to share information without obtaining consent first, particularly where we believe a child or another person may be at risk of harm.

Any safeguarding information will be handled in accordance with our Safeguarding & Child Protection procedures.

How long we keep information?

We keep personal information only for as long as there is a legitimate legal, safeguarding, contractual or operational reason to do so.

Different types of information need to be retained for different periods. Elevate maintains an internal Data Retention Schedule to help us manage this appropriately.

Keeping information secure

We take reasonable steps to protect the information we hold against loss, unauthorised access, alteration or disclosure.

Access to personal information is limited to authorised individuals who need it for their role.

Your rights

Under UK data protection law, you may have rights relating to your personal information, including the right to ask us for access to information we hold about you, request correction of inaccurate information, and in certain circumstances request deletion or restriction of the way information is used.

You may also have the right to object to certain processing or withdraw consent where consent is the basis on which information is being used.
