These Terms & Conditions apply to regular Elevate Youth Theatre classes. By registering a child and accepting a place, the parent/Carer agrees to these terms. Separate information and consent will be collected for emergency contacts, medical needs, collection arrangements, photography/video and other matters requiring specific choices.

1. Membership and Eligibility

Elevate provides out-of-school performing arts activities for children and young people. Places are offered subject to availability, the suitability of the class for the child's age and needs, and the information supplied during registration.

Parents/carers must ensure that registration information remains accurate and tell Elevate promptly about relevant changes, particularly emergency contacts, medical needs, allergies, additional needs and collection arrangements.

2. Trial Class

A one-off trial class costs £7 and must be paid prior to the class. A trial does not guarantee an ongoing place. Where a place is available and the parent/Carer wishes to continue, the child must be fully registered and the applicable membership and class fees paid in accordance with Elevate's payment arrangements.

3. Annual Membership Fee

An annual membership fee of £25 per child is payable for each membership year in which the child is enrolled with Elevate.

The annual membership fee includes:

  • one Elevate Youth Theatre T-shirt;
  • one printed Elevate Passport; and
  • membership administration for the relevant year.

The membership fee is separate from regular class tuition fees and any additional production, examination, trip, workshop, costume, ticket or merchandise costs.

Parents/Carers must provide the correct T-shirt size when requested. Elevate cannot guarantee that a replacement will be provided free of charge if an incorrect size has been supplied or an issued item is lost or damaged.

Unless Elevate has made an error or is legally required to provide a refund, the annual membership fee is normally non-refundable once membership has commenced or the included membership items have been ordered.

The annual membership fee is payable again at the beginning of each new membership year if the child continues with Elevate.

4. Class Fees and Payment

Regular classes are charged at £7 per scheduled class.

Fees are calculated according to the number of classes scheduled for the relevant term. Parents/Carers may pay the term’s fees in full in advance or spread the cost through Elevate’s published monthly payment plan.

Monthly payments spread the total cost of the term and are not payments for individual classes attended. Parents/carers remain responsible for all fees due for the child’s enrolled place, subject to the cancellation, absence and notice provisions set out in these Terms and Conditions.

For the Autumn 2026 term, classes taking place on 21 and 28 September will be invoiced separately. Monthly payments will begin on 1 October 2026 and will be £23.50 per month for the remainder of the Autumn term.

Elevate will provide reasonable notice of all payment dates and amounts. Any booking or transaction fee payable by the parent/carer will be clearly shown before payment is confirmed.

Any material change to class fees will be communicated in advance and will not be applied retrospectively.

5. Online Booking and Cancellation Rights

Submitting a registration or booking request does not automatically guarantee a place. A booking is confirmed when Elevate accepts the registration and sends confirmation through its booking system or by email.

Before confirming a booking, parents/carers will be shown the applicable fees and any additional charges.

Where a statutory cancellation period applies to an online booking, the parent/carer may cancel by emailing hello@elevatenewquay.com within the applicable period. Some services relating to leisure activities taking place on specified dates may be exempt from the usual 14-day cancellation right.

If a parent/carer asks for a service to begin during an applicable cancellation period, elevate may charge a reasonable amount for any services already provided before cancellation.

Nothing in this section affects the parent/carer’s statutory consumer rights or any additional cancellation rights offered elsewhere in these Terms and Conditions.

6. Sibling Discount

A 10% sibling discount is available where two or more children from the same immediate family are enrolled in regular Elevate classes. 

The discount applies to eligible regular class tuition fees and does not apply to the annual membership fee, trial classes, production costs, examinations, trips, merchandise or other separately priced activities unless Elevate expressly states otherwise. The discount will only work when fees are paid together at the same time.

7. Absence and Missed Classes

Parents/carers should notify Elevate where possible if a child will be absent.

No refund or reduction is given where a child misses a scheduled class because of personal absence, holidays, other commitments or short-term illness, because the child's place and associated staffing/venue costs remain reserved.

Nothing in these terms affects a consumer's statutory rights.

8. Classes Cancelled by Elevate

If Elevate has to cancel a class, we will try to reschedule or provide a suitable replacement session where reasonably practicable.

If the cancelled class cannot reasonably be rescheduled or replaced, the relevant class fee will be refunded or credited to the parent's/carers account.

Elevate is not responsible for consequential costs incurred by families as a result of cancellation, except where liability cannot lawfully be excluded.

 

9. Leaving Elevate and Notice

A parent/carer wishing to withdraw a child from regular classes must give written notice by emailing hello@elevatenewquay.com.

The child’s place and fees will continue until the end of the term. If opting for the monthly subscription, fees remain payable throughout the notice period, whether or not the child attends.

Elevate may agree to waive or reduce the notice period in exceptional circumstances. Any decision will be made individually and does not create an obligation for Elevate to do the same in other cases.

Parents/carers should contact Elevate if they are unsure about their child’s final attendance or payment date.

10. Late or Unpaid Fees

Parents/carers should contact Elevate promptly if they are experiencing difficulty making a payment. Elevate will aim to deal with genuine difficulties reasonably.

Where fees remain overdue and no arrangement has been agreed, Elevate may suspend attendance or withdraw the child's place after reasonable notice. Any fees already due remain payable.

11. Attendance, Punctuality and Collection

Children should arrive promptly and be collected at the published class times. Parents/carers should notify Elevate where possible if their child will be absent or late.

Children attending the Minis and Juniors classes must be signed in on arrival with a member of Elevate staff. They must be collected promptly from the reception area by a parent/carer or another authorised adult.

Children attending the Intermediates and Seniors classes may sign themselves in on arrival. They must still be collected by a parent/carer or another authorised adult unless Elevate has received written permission for the child to leave independently.

Parents/carers must inform Elevate in advance if somebody different will be collecting their child. Elevate may ask the collecting adult to confirm their identity before allowing the child to leave.

If a parent/carer is unexpectedly delayed, they must contact Elevate as soon as possible. If a child has not been collected and Elevate cannot contact the parent/carer, staff will contact the child’s registered emergency contacts and follow Elevate’s safeguarding procedures where necessary.

Parents/carers must keep all contact details, emergency contacts and collection permissions up to date.

12. Behaviour and Inclusion

Elevate aims to provide an inclusive, respectful and supportive environment. Children are expected to behave in a way that allows themselves and others to participate safely.

Where behaviour presents a safety, safeguarding or serious disruption concern, Elevate will normally work with the child and parent/Carer to identify appropriate support or adjustments. Serious or persistent behaviour may result in temporary suspension or withdrawal of a place where reasonable measures have not resolved the concern.

Safeguarding concerns will always be handled under Elevate's Safeguarding & Child Protection procedures rather than solely as a behaviour matter.

13. Medical Needs, Allergies and Additional Needs

Parents/carers must provide accurate information about medical conditions, allergies, medication, SEND, disabilities or other needs that may be relevant to safe participation.

Elevate will make reasonable adjustments where required and will discuss individual arrangements with families where a child's needs materially affect participation, supervision, emergency arrangements or risk.

Parents/carers must not send a child to a session where the child is too unwell to participate safely or attendance would create a significant health risk to others.

14. First Aid, Medicine and Emergencies

Elevate staff may provide appropriate first aid where a child becomes ill or injured during an activity. Parents/carers will be informed of any first aid administered in accordance with Elevate’s procedures.

In a medical emergency, Elevate may contact the emergency services and take reasonable action to protect the child’s health and safety. Staff will make reasonable efforts to contact the child’s parent/carer and registered emergency contacts as soon as possible.

If a parent/carer or emergency contact cannot immediately be reached, this will not prevent Elevate from obtaining urgent medical assistance where staff reasonably believe it is necessary.

Parents/carers must provide accurate and up-to-date information about medical conditions, allergies and medication. Medication will only be held or administered where this has been agreed with Elevate in advance and the appropriate written information and permissions have been provided.

15. Safeguarding

The welfare of children is paramount. Elevate operates a Safeguarding & Child Protection Policy and staff/volunteers are expected to follow it.

Where Elevate has a safeguarding concern, information may be shared with appropriate safeguarding agencies without parental consent where this is necessary and lawful to protect a child. Elevate will not promise confidentiality where doing so could compromise a child's safety.

16. Photography, Video and Promotional Media

Photography and video are an important part of theatre and performance, but promotional consent is not assumed by accepting these Terms & Conditions.

Parents/carers will be given specific choices about the use of their child's image/video for purposes such as Elevate's website, social media and promotional advertising. Elevate will respect the permissions recorded and parents/carers may contact Elevate if they wish to review future use of identifiable promotional material.

Separate arrangements may apply to official performance recording or photography, and these will be communicated where relevant.

17. Performances, Productions, Costumes and Additional Activities

Regular class fees do not automatically include every production, examination, trip, workshop, costume, ticket, merchandise or external-event cost.

Where an optional or additional activity carries a charge, Elevate will provide the relevant information and cost before the Parent/Carer commits.

Participation in particular performances may be subject to rehearsal attendance, safety requirements, licensing/chaperone arrangements, casting decisions and venue requirements. Casting and creative decisions remain the responsibility of Elevate's teaching/creative team.

18. Trips, Visits and Community Events

Elevate may offer children opportunities to participate in trips, community events, performances, promotional activities and supervised visits away from the usual class venue.

Parents/carers will be given relevant information before an off-site activity takes place, including the location, timings, collection arrangements, transport arrangements and any additional cost.

Elevate will complete appropriate risk assessments and put suitable supervision, safeguarding, licensing and chaperone arrangements in place where required.

Separate written parental consent will be obtained where required. Permission provided during registration does not remove Elevate’s responsibility to give families appropriate information about significant off-site activities.

Parents/carers must inform Elevate if there are any medical, accessibility, behavioural or other needs that may affect their child’s safe participation.

Participation may be subject to available places, suitability, attendance requirements and any conditions set by the venue or event organiser.

19. Changes to Timetable, Teacher or Venue

Elevate may make reasonable changes to teachers, rooms, venues, class times or the programme where operationally necessary. Families will be given as much notice as reasonably practicable.

If Elevate makes a substantial ongoing change that materially affects a family's ability to use the service, the Parent/Carer should contact Elevate so that an appropriate solution can be considered.

20. Personal Property

Children should avoid bringing valuable or unnecessary personal items. Elevate will take reasonable care but cannot accept responsibility for loss or damage to personal property unless caused by Elevate's negligence or where liability cannot lawfully be excluded.

21. Health and Safety

Parents/carers and children must follow reasonable safety instructions from Elevate and the venue. Elevate maintains a Health & Safety Policy and relevant risk assessments.

Parents/carers should inform Elevate promptly of any issue they believe could affect a child's safe participation.

22. Data Protection and Privacy

Elevate will process personal information in accordance with UK data-protection law and its Privacy Notice. Information will be collected and used for purposes including registration, attendance, payment administration, safeguarding, emergency contact, health and safety, communications and delivery of Elevate's activities.

More sensitive information, such as relevant health information, will only be used where there is an appropriate lawful basis and safeguards.

23. Complaints and Concerns

Parents/carers are encouraged to raise concerns promptly so they can be addressed. Elevate's Complaints Procedure explains how concerns and formal complaints are handled.

Safeguarding concerns should be raised immediately under the Safeguarding & Child Protection Policy and should not be delayed while following an ordinary complaints process.

 

24. Liability and Statutory Rights

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Nothing in these terms affects the Parent/Carer's statutory consumer rights.

25. Changes to These Terms

Elevate may update these Terms and Conditions where reasonably necessary because of changes to its services, fees, legal requirements, safeguarding responsibilities or operational arrangements.

Parents/carers will be given reasonable notice of any material changes before they take effect.

Where Elevate makes a material change that significantly affects a service already purchased or a family’s ability to continue attending, the parent/carer may withdraw the child before the change takes effect. No charge will be made for classes or services that have been paid for but will not be provided following the withdrawal.

Nothing in this section affects the parent/carer’s statutory consumer rights.

26. Acceptance

By registering a child for ongoing membership and confirming acceptance of these Terms & Conditions, the Parent/Carer confirms that they have read and agree to them and that the information supplied to Elevate is accurate to the best of their knowledge.
